Collecting personal data

Introduction

You may choose to provide your personal information directly to us in many situations. For example, you may provide us with your name and contact information if you want to communicate with us, if you sign up for a service, if you require a subscription from us or, if you are a supplier or business partner, if you want to do business with us. And if you apply for a position with ONLINE DIALOGUE, you may provide us with a description of your education and work experience. If you communicate to us that you do not want us to use your information for contact beyond fulfilling your request, we will respect that wish.

Registration

If you wish to receive information, download publications, register for a live or virtual event, or request a trial, we may ask you to provide us with your name and other information in connection with your request. We use that information in connection with your request and to communicate with you. This information allows us, in most cases, to identify you when you visit our Web sites. We retain your information for possible future contact with you.

In addition, we may ask you to register an ONLINE DIALOGUE ID. In that case, you must provide us with your name, e-mail address, country and other information as necessary for the purpose for which we are asking you to register. When you visit our websites, when you make a request, or when you order or use a product or service, the ONLINE DIALOGUE ID may act as your unique identifier. Registering with an ONLINE DIALOGUE ID often gives you the ability to adjust and control your privacy settings.

Certain ONLINE DIALOGUE products and services specifically require unique registration for the purpose of providing those products or services. In such cases, the registration information you have provided for a product or service will be used for one purpose only, namely to provide that product or service to you.

Website visits

We may also collect information related to your use of our websites. We use various techniques to do this. For example, when you visit one of our Web sites, we may record certain information sent to us by your browser, such as your IP address (including information that can be derived from your IP address, such as your geographic location), the type of browser you are using and its version and language; the time and duration of your visit, and the addresses of Web sites that link to us. In addition, we may then collect information about the pages you view within our sites, the amount of time you spend on each site, and other actions you take while visiting our website.

We also use techniques that allow ONLINE DIALOGUE to collect information about the use of our products or services. For example, to determine whether you opened an e-mail and whether you clicked on a particular link in an e-mail. More information about the techniques we use can be found below in Cookies, web beacons and other techniques.

Marketing Information

Most of the information we collect about you comes from direct interactions with you. Should we acquire information indirectly related to you through other sources, we ask the relevant vendors to warrant that the information was lawfully obtained by them and that we have the right to acquire and use that information from them.

When you register for an event, we record (online or offline) additional information related to the organization of the event. We also record information during the event, such as participation in sessions and survey results. Events may be recorded and group photos may be taken. We reserve the right to use photos for promotional purposes. If you provide us with your business contact information (for example, by offering a business card), we may use that information to contact you.

The information we collect, directly or indirectly, may be aggregated to help us improve its overall accuracy and completeness and to better tailor our interactions with you.

Use of personal data

The following paragraphs describe in more detail how ONLINE DIALOGUE may use your personal data.

Handling of your inquiries

If you request something from ONLINE DIALOGUE, such as a product or service, certain marketing material, or that you receive a call back, we will use the personal data you provide to handle your request. To make this possible, we may exchange data with others involved in the fulfillment. We may also contact you as part of customer satisfaction surveys or market research.

Personalization of our websites

We may use the personal information we collect about you to help you interact with our Web sites and our services in a personalized way. For example, we may offer you content that you are interested in and we may make navigating our sites easier for you. We may also use that information to improve our Web sites.

Providing support

We may use your personal data to support the products and services you have purchased from us. For example, we may notify you about an update or fix for a particular product. We may combine your data with information from other transactions with you so that we can make better suggestions to you regarding product support.

Marketing

Like the personal data we have collected about you indirectly, d
he personal data you provide to ONLINE DIALOGUE will be used by ONLINE DIALOGUE for marketing purposes, i.e. to keep you informed about events, products, services and solutions sold by ONLINE DIALOGUE that could complement your existing product portfolio. Before we do so, however, we give you the opportunity to indicate whether your personal data may be used in this way. You can indicate at any time that you no longer wish to receive marketing material from us. To do so, please follow the unsubscribe instructions included in the communications you receive from us, indicate it when we call you, or contact us directly (see “Privacy Questions and Access to Your Data,” below).

Some of our offers or events may be “co-branded” or sponsored by ONLINE DIALOGUE and third parties, such as business partners and solution providers, who use, resell or supplement ONLINE DIALOGUE's products or services. For offers and events that are “co-branded,” the existence of such partnership is clearly indicated and you are explicitly asked for your consent. If you register for these offers or events, please keep in mind that your data may also be collected by, or made available to, third parties. We recommend that you inquire about the privacy policies of the relevant third parties to understand how they handle data about you.

Applications

When you apply for a job with ONLINE DIALOGUE or respond to a job posting on ONLINE DIALOGUE's website or otherwise, you may provide us with information about yourself, such as your resume. We may use that information anywhere within ONLINE DIALOGUE to complete your application or response.

Use of information in the social computing environment

ONLINE DIALOGUE provides social computing tools on some of its websites to enable online data sharing and collaboration for individuals who have registered to use those tools. This includes forums, wikis, blogs and other social media platforms.
If you download and use these applications, or register to use these social computing tools, ONLINE DIALOGUE may ask you to provide certain personal information. Registration information is subject to this Privacy Statement and such information is protected in accordance with this Privacy Statement, except for information that is not automatically made available to other participants as part of your profile. These applications and tools may also be accompanied by additional Privacy Statements with specific information about data collection and processing. To understand what the applications and tools may do, you should read those additional statements.

Any other content that you make available, for example images, information, opinions or other type of personal information that you make known to other participants of these social platforms or applications, is not subject to this Privacy Statement. Such content is instead subject to the terms of use of the platforms or applications in question, plus any additional guidelines and privacy information provided when using them, as well as the processes by which you can remove your content from such tools or get help to do so. Please refer to those guidelines and privacy information if you wish to learn more about the rights and obligations of you, ONLINE DIALOGUE and other parties with respect to such content. Please note that the content you make available on such social computing platforms may be made widely available to others inside and outside ONLINE DIALOGUE.

Protection of rights and property of ONLINE DIALOGUE and others
When we have reasonable grounds to suspect that the rights or property of ONLINE DIALOGUE, our business partners, suppliers, clients or others may be affected, we may also use or make available your personal information to protect those rights or property. In addition, we reserve the right to disclose your personal information when required to do so by law and when we believe disclosure is necessary to protect our rights or the rights of others, or to comply with a court order, court order or legal process served on our websites.

Children

Unless otherwise indicated, our websites, products and services are not intended for children under the age of 16.

Retention period

ONLINE DIALOGUE will retain your personal data for as long as necessary for the purpose for which the information is processed, or as long as there is a valid reason to retain your personal data (for example, to comply with legal obligations, to resolve disputes or to enforce our agreements).

Your registration information will be kept as long as your account or ONLINE DIALOGUE ID is active or as needed to provide you services. If you wish to request that we no longer use your registration information to provide you services, please contact us at dpo.@onlinedialogue.nl.

Cookies, web beacons and other techniques

As mentioned above, we record information regarding your visit to our websites and your use of our ONLINE DIALOGUE services to help us compile figures on usage and effectiveness, to personalize your experience, to tailor our interactions with you to your person, and to improve our products and services. We do this using various techniques, including scripts, tags, Local Shared Objects (Flash cookies), Local Storage beacons (HTML5) and “cookies”.

What are cookies and why are they used

A cookie is a piece of information sent by a website to your browser, which is then stored on your computer. It acts as a tag that identifies your computer. Cookies are often used only to measure the usage rate of websites (such as the number of visitors and the length of their visits) and their effectiveness (such as the topics in which visitors are most interested), as well as to facilitate the operation of websites. As such, cookies are not linked to personal data of any kind.
Sometimes, however, cookies are also used to tailor the operation of a website to a specific visitor by linking to a profile and to user preferences. Over time, this information provides valuable insight to help improve the user experience.

Cookies are usually divided into “session cookies” and “persistent cookies.” Session cookies assist in efficient navigation through the website and track your progression from page to page, so you are not prompted to enter information you have already entered during the same visit, or information required to complete a transaction. Session cookies are stored in temporary memory and are deleted as soon as the Web browser is closed. Permanent cookies, on the other hand, are used to store user preferences during the current visit and subsequent visits. They are stored on the hard drive of the device in question and are still valid when you restart your browser. We use permanent cookies, for example, to record your language and country preferences.

How to communicate your privacy preferences regarding the use of cookies

When visiting our websites or online services, you may be given the opportunity to set your preferences regarding cookies and similar techniques using options and tools provided through your web browser or by ONLINE DIALOGUE. If a cookie manager has been implemented by ONLINE DIALOGUE, it will be displayed on your first visit to our website. You can specify your preferences for required cookies, required and functional cookies, and required, functional and advertising cookies. In addition, here you will find more information about the types of cookies used. The use of cookie preferences does not have the effect of clearing cookies already present on a device. Cookies already present on a device can be deleted via the settings of your web browser.
Although automated browser signals regarding tracking mechanisms (such as “do not track” instructions) are not currently recognized by ONLINE DIALOGUE websites, it is usually possible to express your privacy preferences regarding the use of most cookies and similar techniques through your web browser. In your particular browser, look under the heading “Tools” or “Extra” (or something similar) for information about cookie controls. In most cases, you can set your browser to alert you when a cookie arrives. You then have the option of accepting that cookie or not. You can also set your browser to disable all cookies. Because using cookies allows you to take advantage of certain features on our websites or ONLINE DIALOGUE services, we recommend that you leave the use of cookies enabled. If you block, disable or otherwise do not accept cookies, certain web pages will not display properly.

Web beacons and other techniques

Some ONLINE DIALOGUE websites and ONLINE DIALOGUE services use web beacons or other techniques to tailor those sites, services or products to the visitor and thus enable better customer service. These techniques are in use on a number of pages throughout ONLINE DIALOGUE's websites. When a visitor accesses these pages, a non-personally identifiable record of that visit is generated.

Web beacons usually work in conjunction with cookies. If you do not want your cookie information to be linked to your visits to these pages or your use of these products, you can disable the use of cookies either in your browser or in the product itself. If you do so, these visits will still be detected by web beacons and other techniques, but will no longer be linked to information that would otherwise be stored in cookies.

To store content information and preferences, we use Local Shared Objects, such as Flash cookies, and Local Storage, such as HTML5. Third parties with whom we cooperate to offer, based on your Internet activities, certain functions on our website or to display advertisements of ONLINE DIALOGUE on websites of others, also use Flash cookies or HTML5 to collect and store information. Various browsers have their own tools that allow HTML5 to be removed.

We may also include Web beacons in marketing emails or newsletters. That way, we can track whether those messages have been opened and whether the links contained therein have been clicked on.

When using third-party buttons on social media, certain information may be captured, such as your IP address, browser type and language, access time and the address of the website you came from, and if you are logged into the sites of such social media, they may also link the information collected to your profile on that site.

We do not have access to these third-party tracking technologies.

Internet advertisements

ONLINE DIALOGUE does not post third-party advertisements on its websites, but does advertise on the websites of others. Please familiarize yourself with the privacy policies of those Web site operators and network advertisers; you will learn about their advertising habits, such as the type of information they may collect regarding your Internet usage.

Links to non-ONLINE DIALOGUE websites and third-party applications

To make it possible for you to interact with other websites on which you may have an account (such as Facebook and other social media sites) or to participate in communities on such sites, we may display links or embed third-party applications so that you can log in, post content or participate in communities from our websites.

We may also provide general links to non-ONLINE DIALOGUE websites.

Your use of these links and applications is subject to the privacy policies of the relevant third parties, and before using the links or applications, you should become familiar with the privacy policies in question. ONLINE DIALOGUE is not responsible for the privacy policies and content of such other websites.
